How to Create, Manage, and Sync Calendar, Folders, and Contacts for Your Email Accounts

Managing your calendar, folders, and contacts is essential for organizing your email system. This guide will help you create, manage, and sync these features for your Infiearth email accounts via cPanel and the Infiearth Client Area.

1. Creating and Managing Calendar Events

Via the Infiearth Client Area

Currently, the Infiearth Client Area is primarily focused on managing hosting services and email accounts. Calendar management is generally handled through webmail or external applications like Outlook or Thunderbird. To access and manage your calendar, we recommend using webmail clients or an integrated email client.

Via cPanel (Using Webmail Clients)

  1. Access Webmail:

    • Log in to cPanel and navigate to the Email Accounts section.
    • Click on Access Webmail next to the email account you want to use.
    • Choose a webmail client like Roundcube or Horde.
  2. Create and Manage Calendar Events:

    • Roundcube: If you use Roundcube for webmail, you can create calendar events through its Calendar plugin (if enabled). Look for the Calendar icon in the interface.
      • Add Event: Click on Create New Event and input the event details (e.g., date, time, description).
      • Manage Events: You can edit, delete, or view existing calendar events.
    • Horde: Similarly, if you use Horde, navigate to the Calendar section in its interface.
      • Click Create New Event to add calendar events.
      • Use the calendar view to manage and organize events by day, week, or month.

Syncing Calendar with External Applications

To sync your calendar with external applications (e.g., Google Calendar, Outlook, or Apple Calendar):

  1. Export Calendar:
    • From Roundcube or Horde, you can export your calendar to a file format like .ics.
  2. Import to External Calendar:
    • Import the .ics file into your external calendar application (Google Calendar, Outlook, etc.) to sync events.
    • Alternatively, you can configure IMAP and CalDAV settings to sync your calendar across devices automatically.

2. Creating and Managing Folders

Folders allow you to organize your emails into categories for easy access and management.

Via the Infiearth Client Area

The Infiearth Client Area does not directly manage email folders. Instead, you will manage folders through webmail or external email clients like Outlook or Thunderbird.

Via cPanel (Using Webmail Clients)

  1. Access Webmail:

    • Log in to cPanel and click Access Webmail for your email account.
    • Choose a webmail client like Roundcube or Horde.
  2. Create Folders:

    • Roundcube: Once in Roundcube, you can create folders by navigating to the Folders section.
      • Click Create New Folder, then enter a folder name and specify the location (e.g., Inbox or a new directory).
      • Use folders to organize emails by category, priority, or project.
    • Horde: Similarly, in Horde, you can create folders by going to the Mailbox section and selecting Create New Folder.
  3. Organize Emails into Folders:

    • Move emails into folders by dragging and dropping them or selecting Move to Folder from the email options.

Syncing Folders Across Devices

  1. Set Up IMAP:
    • To sync folders across all devices, make sure you have IMAP enabled on your email account. IMAP ensures that all changes (e.g., moving emails to folders) are synced across all devices and email clients.
    • Ensure your external email client (e.g., Outlook or Thunderbird) is configured to use IMAP for syncing folders.

3. Creating and Managing Contacts

Managing contacts helps you stay organized by maintaining a directory of important email addresses.

Via the Infiearth Client Area

Like calendar and folder management, contact management is not directly available through the Infiearth Client Area. You will manage contacts via webmail or external email clients.

Via cPanel (Using Webmail Clients)

  1. Access Webmail:

    • Log in to cPanel and go to Email Accounts.
    • Click Access Webmail next to the email account you want to use.
    • Select Roundcube or Horde.
  2. Create Contacts in Roundcube:

    • Go to the Contacts section in Roundcube.
    • Click Create New Contact and fill in the contact details (e.g., name, email address, phone number).
    • Click Save to store the contact.
  3. Create Contacts in Horde:

    • In Horde, navigate to the Contacts section.
    • Click New Contact and enter the required information.
    • Save the contact after entering the details.

Syncing Contacts Across Devices

  1. Set Up CardDAV:
    • To sync contacts across devices, ensure your email account supports CardDAV. You can set up CardDAV on mobile devices and external email clients (e.g., Outlook, Apple Contacts) to sync your contacts automatically.
    • For syncing contacts with mobile devices, add the email account to your mobile device’s settings and ensure CardDAV syncing is enabled.

Conclusion

Whether you need to manage your calendar, folders, or contacts, Infiearth's email service supports syncing and organizing these features via cPanel and webmail clients like Roundcube and Horde. By setting up IMAP and CardDAV/CalDAV syncing, you can keep your email system well-organized and ensure everything is synchronized across all devices.
